BRIGHT STEP LEARNING — MEETING AGENDA Meeting purpose: Required result by the end: Date, time, location/access route: Decision owner and limits: People whose relevant input is needed: Preparation material and appropriate access: For each item write: question to resolve; evidence available; gaps; input needed; decision owner; time allowance. FICTIONAL EXAMPLE Purpose: agree a workable handover for a community workshop pack. Question: who checks the current version before it is shared? Evidence: two fictional handovers used different versions; the reason is not established. Options: a defined review point or a clarified responsibility in the existing process. Decision needed: organiser to confirm the appropriate reviewer and timing. End-of-meeting check: record the actual decision, action owner, next step and review date. Keep an unresolved question visible rather than inventing agreement. FACILITATION CHECK Give people an understandable way to prepare and contribute. Separate observations from possible causes. Redirect personal accusations toward relevant facts and conduct. Do not discuss sensitive individual matters in an open team meeting when another process is appropriate. AFTERWARDS Share a concise appropriate action note. Confirm changes with people who depend on the original commitment. Review whether the meeting improved the work, not merely whether everyone attended.
